Purpose of the role

To contribute to the success of the AMP Life Senior Leadership Team by providing high quality administrative support and working in a highly organised and collaborative way with all members of the team including the broader administrative support team across AMP Life. Your role will be the day-to-day contact and coordination point for the senior leaders and their teams reporting to the Executive Assistant for AMP Life.

Main focus areas

  • Maintaining day-to-day diary management for the GMs/Heads
  • Assist with adhoc administration for the team; new starter set ups, relocations, rollout of software enhancements (eg: Office365), etc
  • Arrange travel for the GM/Heads of and team members, as required
  • Update and maintain email distribution groups for your team
  • Provide timely and effective liaison between Executive Assistants and Personal Assistants and leadership teams across AMP Life
  • Actively respond to requests in the AMP Life Assistant mailbox
  •  Actively participate in the administrative management of the floor (eg: mail deliveries, stationery, general floor maintenance, kitchen supplies etc)
  • Maintenance of files, filing, and correspondence (email and hard copy)
  • Handle confidential and sensitive information
  • Administration of expenses: reconciliation of charges to cost centres, payment of corporate AMEX cards, MyBill, eGem invoicing and budget accruals for the GM/Heads
  • Meetings: set up and coordinate team meetings, distribute agenda and documentation and attend, take action items, when required
  • Relationship management with key stakeholders and their Assistants
  • Promote knowledge sharing, communication and efficiencies within the team

Experience required

  • Able to work under pressure in a constant changing environment Experience required
  • Relevant experience in a Personal Assistant and/or Administration roles
  • Advanced - Word, Excel, Outlook and PowerPoint skills
